We collect information you provide directly to us when you create an account, such as your name, email address, and optional phone number. When you add people to Birthday Genie, we store their name, birthday, and any relationship notes you choose to provide.

We also collect usage data automatically, including your IP address, browser type, pages visited, and interactions with our service. This helps us understand how people use Birthday Genie and improve it over time.

2. How we use your information

• To provide, maintain, and improve the Birthday Genie service
• To send birthday reminders and AI-generated messages on your behalf
• To communicate with you about your account, updates, and support requests
• To process payments via Stripe
• To monitor for and prevent fraud and abuse
• To comply with legal obligations

3. Third-party processors

We share your data with the following third-party processors only as necessary to provide our service:

• OpenAI — for AI message generation. Message content is not used to train OpenAI models.
• Twilio — for WhatsApp message delivery.
• Resend — for transactional email.
• Stripe — for payment processing.
• PostHog — for product analytics (anonymised where possible).
• Sentry — for error monitoring.

We do not sell your personal data to any third party.

4. Data retention

We retain your personal data for as long as your account is active. If you delete your account, we will delete your personal data within 30 days, except where we are required to retain it by law (for example, financial records for HMRC purposes).

We take security seriously. All data is encrypted at rest using AES-256 and in transit using TLS 1.3. Access to production systems is restricted to authorised personnel only. We conduct regular security reviews.
